Utilizing the Allow Single Use During Set Time asset management strategy is a great way to offer things like private boat tours or other activities where once a booking has been made to utilize a given asset that asset is no longer in the rotation for any other activities during that time.


With Allow Single Use During Set Time asset management strategy the capacity of an activity is not taken into consideration. This is because the asset(s) you add to your activity are consumed in their entirety with a single booking. The only way to allow for multiple bookings on a given activity using the Allow Single Use During Set Time asset management strategy is to create multiple assets and assign multiple to the activity.


It's also a recommended best practice to use the Allow Single Use During Set Time asset management strategy with "named assets" that have but a single quantity. This means that you wouldn't assign your fleet of kayaks, which you have 20 of, to an asset with this strategy as you would get a single booking (likely for less than 20 participants) and your kayak inventory would then be considered depleted for the remainder of that activity time. 


Let's look at an example.


Example: Private Airport Transfers

Let's say you operate a company that provides airport transfer services to your customers. In this instance you have a fixed number of usable, named assets (SUVs), and when someone reserves this service since they are private transfers they are the only customer who gets to use this asset for their trip to/from the airport. 


You create the following assets in the TRYTN system (and assigned both of these assets to your private airport transfer activity using the Allow Single Use During Set Time asset management strategy):

  • 2018 Lincoln Navigator
  • 2016 Cadillac Escalade


Let's also assume a simple schedule where it takes an hour to head to the airport. Let's look at a few hours of capacity in the below table for this example:

In the above table we see that because we have two assets that are using the Allow Single Use During Set Time asset management strategy we have a maximum capacity of 2 available for booking at any given time slot. Let's look at a situation where we hypothetically have a customer reserve our private airport transfer service for 9am:

Because we set up our assets to use this strategy we now can only accept one more booking to consume the other named asset available to the activity. When the 9am activity is completed at 10am the asset is returned to the available pool and a maximum quantity of 2 is available again.


Now let's get a little more complicated with this example. Let's also now assume you offer the Private Airport Transfer as well as an In-Town Shuttle Service. With these services you will either take customers to the airport or drive them around the city to a destination. You still have but two named assets and you assign both assets to both activities. Both activities use the Allow Single Use During Set Time asset management strategy.

In the above table we see that we still have a maximum available capacity of 2 for all activity time slots. Now, let's have a customer make a hypothetical booking for the 8:30am In-Town Shuttle Service and another customer make a booking for the 8am Private Airport Transfer.

We now see in the above table that because of the bookings placed by our hypothetical customers that from 8am to 9am there is no more available capacity for our Private Airport Transfer activity and the 8:30am time slot is also unavailable, but the 8am time slot for In-Town Shuttle Service still has 1 available. This is because the 8:30am booking removed the second asset during the 8am to 9am Private Airport Transfer window. We still have another asset but because the time slots overlap we can't use that asset for the 1 hour Private Airport Transfer. We can only use the remaining asset for the 8am In Town Shuttle Service.
