When a transaction is purchased as a deposit-only or partial payment, there will be an outstanding balance. There are several options to collect an outstanding balance:
Charge an outstanding balance
-
From Transactions Details Page: Actions > Charge Outstanding Balance. How to access the transaction details page:
- Dashboard > Click booking on calendar > Details
- Check In > Actions > Details
- Transaction > Search > Actions > Details
- From Check In: Actions > Charge Outstanding Balance
- From Transaction: Search > Actions > Details
Send an email to customer to collect outstanding balance
*This is a great option if you want to allow the customer to use a different card to pay the remaining balance instead of the one used for the deposit.
-
Create new email template: Use variable [Transaction: Pay Outstanding Balance Link]
- To send manually: Template type "User Driven"
- To send automatically: Template type "Pre Activity or "Post Purchase"
- Send canned outstanding balance email options: Dashboard > Click booking on calendar > Send communication > Select email template
Please Note: For PayPal users "Pay Outstanding Balance” is an option however it cannot be paid with the card on file. It can only be completed with "Pay with Cash, Pay with Other Means or a Gift Certificate" options listed. The "Charge card on file" option is not there. The pay outstanding balance invoice link is also not an option for emails/communications. We hope to support pay outstanding balance functionality for invoicing/invoice links with PayPal in the future.
