Generate a Custom Report
To create a custom report for your shop, start by navigating to Reports > Report Generator. You will see the following screen where you can determine the criteria for your report. Below, we explain each section of the Report Generator in detail.
Report Criteria
1. Report Level
Under Report Criteria, the first field you see is used for selecting the level of data needed for your report. If you look at the options presented in the dropdown menu, note that all subsequent levels contain the contextual data fields for each previous level. The data types listed under Available Fields (in the next column) may also change based on the data level chosen here.
You can use the chart below to see what details are included in each level and also see how results for each level are displayed in the reports:
2. Date Field to Search
Use the dropdown menu found under Date Field to Search to choose whether results reflected in your current report should be based on purchase date (when the purchase was made), activity date (when the activity took place), or refund date (when the item or transaction was refunded).
3. Select a Date Range
Use the dropdown menu under Select a Date Range to select from a list of possible date ranges, or choose "Custom" from the bottom of the list to create your own timeframe for returned results.
4. Text Filter
You can use the Text Filter field to help narrow your search results.
Here's how filtering works:
- Report results will be filtered to only include rows of data that contain the value(s) entered in your text filter.
- Filtering treats all whitespaces as an AND operator. For example, entering "john 1/1/2019" would return all resulting rows which contain both john and 1/1/2019.
- You can exclude a value from your report's results by adding a minus (-) sign to the beginning of the word you wish to exclude. For example, entering "john -smith" would match all rows containing john, but would exclude rows containing smith.
- Only results that apply to fields that have been added to the Group By Fields or Fields to Include boxes will be displayed in report results.
- Text casing does not matter.
Available Fields
Only fields applicable to the Report Criteria you've selected will be listed in the box under Available Fields. To quickly narrow down the fields included in this list, simply enter a term to indicate what you're looking for in the Filter field. Otherwise, use the arrows to scroll through all options to find what you need.
Fields to Include
As you find fields to include in your report, you'll want to move them by dragging and dropping them into the Fields to Include box. Add as many fields as needed and then select the order in which they appear in the report by clicking the up/down arrows on each field.
Group By Fields
You can utilize the Group By Fields to determine how results are grouped in your report. Fields can be added from the Available Fields box or moved over from the Fields to Include box at any time. Again, you can determine the order of grouping by using the up/down arrows provided.
Exclude Test Mode Bookings
Click the checkbox to Exclude Test Mode Bookings if you want your results to include only actual shop activity. It may be useful to leave this box unchecked at times when testing out shop settings and functionality.
When you've completed all fields, click Generate Report to see all results listed at the bottom of the page.
Save a Custom Report
After generating a new report, click the blue Save Report button if you'd like to save your specific report settings to access again at a later date. Saved reports can be altered at any time and re-saved with different titles if needed.
To save the report, start by entering an easily-identifiable name for your report in the Report Title field. You can also enter a short description for the report if you like.
Then, select a Visibility option for your report. This setting determines whether the new report is Private (only accessible to you) or Shared with Shop Users (accessible to anyone with a shop login that has the permission to view reports).
Finally, click Save Report and a link to your report will be added to the Reports page, under Custom Reports. Note: Any reports that only you can see are found under Your Private Reports, while any reports that can be accessed by all shop users are found under Business Reports.
Download a Report
To download a copy of a custom report, navigate to Reports > Report Generator and select the report you'd like to download. When your report opens, click the blue Download Report button found just above the report data. The CSV (comma-separated values) File of your report will immediately start to download to your computer. Once the download is complete, click on this file to open it for viewing.
Print a Report
To print a copy of a custom report, navigate to Reports > Report Generator and select the report you want to print. When the report opens, click the blue Print button found just above the report's output data. A print screen window will open on your computer. Right-click on this screen and select the Print option to view your computer's print settings.
Edit or Delete a Custom Report
All saved custom reports are saved on the Reports page under Custom Reports. If you need to make changes to an existing report or a report is no longer needed, start by clicking on that report from this page.
Edit an Existing Report
Once your report is pulled up, simply make any changes you need and click Save Report. If you keep the same report title, the changes will overwrite the original report settings. If you use a different report title, a new report will be saved in addition to the original report (both will be found on the Reports page under Custom Reports).
Delete an Existing Report
Once your report is pulled up, select the orange Delete Report button. When clicked, the report will be removed from the Custom Reports section on your shop's Reports page.
