Sometimes weather events occur or assets break down and you are unable to carry out a tour or activity. In these types of situations, you can quickly contact either specific buyers or all booked participants with a templated email to reschedule or send cancellations.
Sending Canned Email Messages
To get started, log in to your TRYTN account and access the booking you need to change or cancel.
STEP 1: Click Dashboard on the main site navigation.
STEP 2: Use the calendar to locate and click on the booking you're looking for.
STEP 3: Select the correct time slot from the list of options under Time Slots for this Date.
STEP 4: Click Send Communication and then use the dropdown options to select the email you have created and saved for this situation. If you’d like to create a new email template, see Custom Communications Setup. In the example below, we use an email we've titled “Activity Cancellation.”
STEP 5: Prepare and Send Your Message
First, check the Selected Recipients field and de-select any participants you do not want the email to be sent to. Then update the subject line and/or email message, if needed, to include any additional text or Variables needed from the box on the right side of the page.
STEP 6: Send Your Email
Once your email is ready, simply click Send Message and the email will be sent to all recipients you've selected. Note that if you select Cancel, any changes added to your message on this screen will not be saved.
